We understand that the privacy and security of your personal information is extremely important. This policy describes what we do with your information and what we do to keep it secure. This policy applies to you whether you order products or services in our physical store, over the phone or online. This policy is adopted by all our branches and subsidiaries.

Why we collect personal information:

The information we collect from you is mainly used to process your order, but it can also help us improve our website, products, services and processes (we always welcome feedback), to keep you up to date with our products and offers, or to let you know what's going on within Coco & Sebas (for example via our email newsletter). It helps us to maintain the security of our service to you, and to enable third parties to perform tasks on our behalf (for example, our courier needs to know where to deliver your order).

The type of information we collect:

We collect, process and store only as much personal data as we need to fulfil the sales contract, or to maintain other services you have requested from us. This may include:

  • Personal information that you give us, such as your name, address, telephone number, email address and payment card details. We never store your payment card details after the purchase contract has been concluded.
  • Information about the services we provide to you (for example, products or services we have sold or provided to you, where and when, what you have paid, the way you use our products and services, and so on).
  • Your username and the password you have chosen for your account (we store your chosen password in a format designed to recognize you when you log in to your account, but we cannot physically view or retrieve your password).
  • Your IP address and web browser features.
  • If the recipient of your order is someone other than you (a gift for example), we will also process their name and address so that we can deliver that order. However, we will not store this information as we are not permitted to use it for any reason other than to fulfil your order.
  • If you subscribe to our email newsletter, your name and email address will be used to personalize and deliver it.

Automated decision-making:

Coco & Sebas BV does not make decisions based on automated processing on matters that can have (significant) consequences for people. This concerns decisions that are made by computer programs or systems, without a human being (for example an employee of Coco & Sebas BV) involved.

To consent to the use of your personal data:

During the checkout phase, you will be given the choice to open an account with us or check out as a guest. In either case, we will ask you for your personal information (name, address, email and phone number). If you choose to open an account, you will also be required to provide a password and then our database will remember you the next time you log in online and you will not have to re-enter most of your personal information.

Before you proceed to checkout you will be asked to agree to our Terms and Conditions. This is a simple process where you tick a clearly marked 'Opt-in' box indicating that you have read, understood and agree to our Terms and Conditions. You must agree to our Terms and Conditions before we can enter into a contract with you and fulfil your order. If you decide not to tick this box you will not be able to complete the checkout stage, regardless of whether you have chosen to checkout as an account customer or as a guest. Your agreement to our Terms and Conditions allows us to process your payment and provide your address details to our courier so that they can deliver your order. If you checkout as a guest customer, your agreement to our Terms and Conditions does not authorise us to retain and process your personal data. Once the contract is completed we will erase all your personal data from our marketing database apart from any data that is required by law.

During the checkout process we will give you further options ('Opt-in') to authorize us to process your personal data from a marketing perspective, for example special offers, catalogues, related information etc. If you choose not to tick these boxes, we will erase all your personal data from our marketing database once your order is completed and you will not be contacted. However, if you have opened an account with us, your details will be remembered the next time you visit our webshop so that you do not have to re-enter them.

How we use your information:

We are committed to protecting your privacy and will only use the information we collect about you in a lawful manner. We will share your personal information with third parties that are part of our contractual process with you. We will never sell your information to third parties or make it available for use by third parties.

Any third party that has access to your information must follow the data protection practices described in this Privacy Policy. The types of companies that may have access to your information include (but are not limited to):

Payment systems, e.g. Mollie.
Couriers: In addition to your name and address, your telephone number will be printed on the parcel label so that you can be contacted should there be a problem with the delivery of your order and to ensure that your goods reach you as quickly as possible.
We will never use your data for longer than necessary.

Collecting reviews:

We collect reviews via the WebwinkelKeur platform. If you leave a review via WebwinkelKeur, you are required to provide your name, place of residence and email address. WebwinkelKeur shares this information with us so that we can link the review to your order. WebwinkelKeur also publishes your name and place of residence on its own website. In some cases, WebwinkelKeur may contact you to provide an explanation of your review. In the event that we invite you to leave a review, we share your name and email address with WebwinkelKeur.

They use this data solely for the purpose of inviting you to leave a review. WebwinkelKeur has taken appropriate technical and organizational measures to protect your personal data. WebwinkelKeur reserves the right to engage third parties for the purpose of providing the service, for which we have given WebwinkelKeur permission. All the above-mentioned guarantees with regard to the protection of your personal data also apply to the parts of the service for which WebwinkelKeur engages third parties.

We want to ensure that the information we hold about you is accurate and up to date. Your rights regarding your personal data:

If there have been financial transactions between us, we have a legal requirement to keep a record of sales made to you by us. This data contains your personal information. It is only kept in a secure environment for a legal period. Once this period has elapsed, we delete these records.
